Karanas Comfort Tours (KCT) –Policies
1) Secure Site
Your privacy and safety are our priority. The Karanas Comfort Tours (KCT) website is hosted on a secure server and protected with SSL encryption.
All transactions, bookings, and customer details are processed in a secure environment to ensure your data remains confidential.
2) Shopping Cart
Our online shopping cart allows you to select tours, lodging services, and other products before finalizing your booking.
You can review your selections, check prices, and make changes before proceeding to payment.
3) Payment Gateway
We accept secure online payments through our approved payment gateway.
Once specifications are finalized, the system will allow you to pay using major debit and credit cards, as well as other supported digital payment methods.
All transactions are processed in Papua New Guinea Kina (PGK), and payment confirmations are automatically sent to your registered email address.
4) Refund / Return Policy
Purpose:
This policy defines the conditions under which customers can cancel or request refunds for bookings. It ensures transparency, fairness, and customer trust while protecting KCT from last-minute losses.
Tours
- 14 days or more before tour date → Full refund (minus processing fees)
➤ Provides sufficient notice for KCT to resell or reassign the booking. - 7–13 days before → 50% refund
➤ Acknowledges partial costs already incurred (transport, reservations, guides). - Less than 7 days before → No refund, but rebooking may be considered
➤ Protects KCT from last-minute cancellations while showing goodwill via rebooking options.
Lodging Services
- 48 hours or more before check-in → Full refund
➤ Allows time to resell the room. - Less than 48 hours before check-in → No refund
➤ Reflects operational losses from short-notice cancellations. - Once the stay has commenced → No refund
➤ Standard hospitality industry practice.
Hire Cars
- 72 hours or more before pickup → Full refund
➤ Enables KCT to reallocate vehicles. - Within 72 hours → 50% refund
➤ Covers administrative and preparation costs. - Once the rental starts → No refund
➤ Service has already been rendered.
5) Consumer Data Policy
Purpose:
To outline how KCT collects, uses, and protects customer data in compliance with privacy best practices — especially important for e-commerce and BSP payment gateway integration.
Key Principles:
- Use Limitation: Data collected is used only for reservations, invoicing, and service delivery.
- Confidentiality: Customer information is never sold, rented, or shared with third parties except when required by law.
- Data Storage: Customer records (names, phone numbers, emails, transaction IDs) are stored securely on KCT’s SSL-secured website and booking system.
- Access Control: Only authorized KCT staff (e.g., booking manager, accounts officer) can access customer details.
- Payment Safety: Payment information is processed via BSP’s secure payment gateway, ensuring KCT never directly stores or views card details.
- Customer Rights: Customers may contact KCT to correct or delete their data at any time.
6) Shipping Practices & Delivery Policy
As a tour and lodging service provider, KCT does not ship physical goods.
Tour confirmations, receipts, and invoices are delivered electronically via email.
In special circumstances where printed materials are required, delivery arrangements will be made directly with the customer.
7) Cardholder Service Policy
KCT is committed to providing safe, reliable, and transparent services to all cardholders.
- Payments are processed only after customer authorization.
- Cardholder details are encrypted and never stored on KCT servers.
